Facilities Manager / Workplace Manager London


The Facilities / Workplace Manager would be responsible for delivering a best in class FM function, leading and motivating a team , delivery a 5 star Workplace experience to a sizeable HQ .



Responsibilities


  • Undertake delivery for the delivery for a best in class , five star FM / Workplace Management function
  • Ensure an effective and customer focused service is provided in accordance with the contract specification and agreed service levels.
  • To develop and maintain a positive relationship with clients and vendors.
  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
  • Promotes high level of satisfaction among clients by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors
  • Responsible approving purchase orders and invoices. Maintains purchase order file for invoice back-up in anticipation of receipt of invoices for accounts payable processing.
  • Acknowledges role as office “ambassador”. Ensures that the Company’s image is reflected through proper procedures, and quality service.
  • File and retrieve corporate documents, records, and reports.
  • Communicates regularly with the clients and service providers, providing necessary support and information to deliver excellent results.
  • Prepare and manage annual budget for Facilities services to the office, reporting accruals and reforecasting monthly.
  • Management of Facilities vendors, ensuring agreed scopes are adhered to.
  • Management of workplace health and safety, to include providing relevant certificates and inputting into H&S system, Meridian.
  • Develop positive relationships with the client, service providers, ensuring standards and scope of service are met.
  • Conduct daily inspections of the facility to ensure highest possible facility standards.
  • Conduct monthly inspection of the facility and submit a report, highlight any facilities issues and resolution.
  • Organize the maintenance of tenant services and general repairs.
  • Ensure that the appropriate maintenance and service levels are received from the Landlord. Monitor and follow up all building related matters.
  • Assures compliance with policies, procedures, and standard practices.
  • Provide monthly reporting of finances, space utilization, facility issues, etc.
  • Ensures a safe work environment and is the key contact for addressing all safety issues at the site.


Person Specification

· Experience in a Facilities Management

· Good planning and organizational skills.

· Good working knowledge of Microsoft office suites.
